02 Information We Collect

We collect information in the following ways:

Information you give us directly:

• Contact form — your name, business name, email address, industry, and the message you send us.
• Digital Audit tool — your business name, industry, team size, customer volumes, operational challenges, email address, and WhatsApp number. Also your responses to the audit questions.
• Client engagement — during a project, we may collect additional business information necessary to build your software (e.g. workflow documents, business processes, staff lists).

Information we collect automatically:

• Standard server logs (IP address, browser type, pages visited, time of visit). These are used only for security monitoring and are not tied to your identity.
• We do not use Google Analytics, Facebook Pixel, or any third-party tracking scripts on this website.

03 How We Use Your Information

We use the information you provide to:

• Respond to your enquiries and contact form submissions
• Deliver your Digital Audit results and personalised recommendations
• Understand your business needs and prepare a software proposal
• Communicate with you about your project — progress updates, questions, invoices
• Improve our services and website based on feedback patterns
• Comply with legal and regulatory obligations

We do not use your information for unsolicited marketing. If we send follow-up emails, they relate directly to your enquiry or project.

04 Legal Basis for Processing

Where applicable (including under the EU GDPR for clients in applicable jurisdictions), we process your personal information under one or more of the following legal bases:

• Contractual necessity — to deliver the services you have engaged us for.
• Legitimate interests — to respond to enquiries, provide audit results, and improve our services, balanced against your privacy rights.
• Consent — where you explicitly submit your information via our contact or audit forms, you consent to us processing it as described.
• Legal obligation — where we are required to retain or process information by Zimbabwean law.

05 Information Sharing

We do not sell, rent, or trade your personal information to any third party.

We may share your information with:

• Our team — Neocube staff involved in responding to your enquiry or delivering your project. All staff are bound by confidentiality obligations.
• Email service providers — we use our own mail server hosted at mail.neocube.tech to send and receive emails. Your email address is not shared with external marketing platforms.
• Legal authorities — if required by a valid court order, law enforcement request, or applicable Zimbabwean law.

06 Data Retention

• Contact form enquiries — retained for 2 years or until the enquiry is resolved and no further communication is expected.
• Digital Audit submissions — retained for 1 year. Audit logs are stored securely on our server.
• Client project data — retained for the duration of the project and 3 years thereafter for legal and warranty purposes.
• Server logs — retained for 90 days, then automatically deleted.

You may request deletion of your data at any time by emailing info@neocube.tech. We will action requests within 14 business days.

07 Data Security

We take the security of your information seriously:

• All data transmitted between your browser and our server is encrypted using SSL/TLS (HTTPS).
• Our server uses access controls and regular security updates.
• Email communications are sent via our own SMTP server over encrypted connections.
• Audit form submissions and contact form data are processed and emailed directly to our team — we do not store full submissions in a database on a public-facing server.

08 Cookies

This website does not use tracking cookies or advertising cookies.

We may use a single session-level browser storage item to remember your progress through the Digital Audit if you leave and return. This is stored in your browser only and is not sent to our servers. It expires when you close your browser.

Third-party services (Google Fonts, Font Awesome CDN) may set their own cookies or log your IP as part of delivering fonts and icons. You can review their policies at Google Privacy Policy.

09 Your Rights

You have the right to:

• Access — request a copy of the personal information we hold about you.
• Correction — request that we correct inaccurate or incomplete information.

Our website and services are intended for business users aged 18 and above. We do not knowingly collect personal information from children under 18. If you believe a child has submitted information to us, please contact us and we will delete it promptly.

12 International Data Transfers

We are based in Zimbabwe and our servers are hosted within or near Zimbabwe. If you are located in the European Union, United Kingdom, or other jurisdiction with data protection laws, please be aware that your data may be transferred to and processed in Zimbabwe, which may not have equivalent data protection laws. By submitting your information, you consent to this transfer.

We take all reasonable steps to ensure your data is handled securely and in line with this Privacy Policy regardless of where it is processed.

We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. When we do, we will update the "Last updated" date at the top of this page.
